Privacy Policy

This privacy statement sets out our policies and describes what information we collect about our customers, suppliers, partners and visitors to our websites, social media and mobile applications, how and why we collect and use the information, and how we safeguard our clients’ rights and privacy policy.

The collection, storage, compilation, disclosure and other processing of personal data is regulated in the Personal Data Act. The Act provides, inter alia, strict requirements for confidentiality and security when processing personal data. The Data Inspectorate supervises the law. «Personal information» is information and assessments that can be associated with a natural person, e.g. name, place of residence and email address. You as a customer can trust that we safeguard your privacy and are open about how we process your personal information.

Responsible party

Scanmatic AS with org.no. 920 353 908 is responsible for processing the company’s processing of personal data. By «controller» is meant by the law the person who decides the purpose of the processing of personal data and what tools to use. The data controller is responsible for the processing of personal data in accordance with the law.

Types of personal data

We only collect and store data that you voluntarily provide to us, such as through the purchase and sale of products and solutions, visits to trade shows, attending events or other inquiries in connection with our activity.

Information we collect and store is only related to your professional role and deals with company information, and your contact information such as name, department, title, telephone number and email addresses.

Information is stored in SuperOffice, which is the company’s CRM system.

In addition, relevant email or written communications we receive from you are stored.

When buying and trading information will also be linked to our ERP system (Visma Business) where contact information is linked to order, product, invoice information. Visma Business also runs on its own local servers.

The purpose

Information stored is only used to manage your professional customer relationship. This includes correspondence in a sales phase, handling of purchases and sales including delivery of goods and invoicing, as well as the dissemination of professional and useful information about the company and relevant products and solutions

Stored information

We will only retain personal data for as long as necessary based on the purposes described in the section above or to comply with specific legal requirements. This means that the storage time for different types of information may vary. The Accounting Act requires that invoice information must be stored for at least 5 years. We need to store the contact information as long as you are a customer with us (and for a certain period thereafter, among other things, in order to provide you with the best possible service if you choose to return to us), while for other types of information ( such as emails) may have a shorter storage need.

Disclosure of the information

Companies in the Scanmatic group are both supplier, customer and partner to parts of our business and our services. Relevant information is therefore shared for use for the same purposes as described above.

Some other third parties also perform services on our behalf. Such third parties are given access to relevant information for use for the same purposes described above.

We enter into written agreements with third parties with whom we share information and make clear requirements to comply with applicable privacy laws, including the requirements for information security.

To the extent required by law or judicial decision or necessary for the investigation of possible offenses against our business, relevant information may be provided to public authorities or any other legitimate persons.

Protects the information

We work systematically to safeguard information security. We have implemented necessary technical, organizational and physical measures against unauthorized access and use.

In connection with any reorganization, restructuring, merger, sale or other transfer of assets, we transfer information, including personal information, provided that the recipient agrees to respect your personal information in a manner consistent with our privacy statement.

Cookies and tracking images

When you visit our website, we automatically register cookies, tracking images and IP address.

Cookies are small data files stored on your device when you browse and use websites and services on the Internet. A tracking image (pixel tag) is an invisible mark placed on some internet sites.

We use cookies including to measure the traffic on our websites and get information about which parts of our site are most visited at what times, how visitors navigate the site and the duration of the visit. The main purpose of this is to secure and improve the performance and functionality of the site.

Links to web sites and services

Our web site may contain links to others. Scanmatic AS is not responsible for such external websites.

Scanmatic is on social media (facebook, linkedIn), but there is no link between activity on these and registration of personal data.

Transparency and deletion

You have the right to receive information about what personal information we process and what we use it for.

It is important that the information we have about you is accurate. You have the right to have your personal information corrected if it is incorrect or inaccurate.

You have the right to have your personal information deleted. We delete your personal information when they are no longer needed for the purpose for which they were collected and we no longer need them to comply with a statutory obligation.
